Privacy Policy
Effective date: 28 April 2026
This policy explains how AthletIQ Ltd ("AthletIQ", "we", "us") collects, uses, and protects your personal data when you use the AthletIQ service via the web, iOS, or Android app.
1. Who we are
AthletIQ Ltd is a company registered in England and Wales. We are the data controller for the personal data processed through the service. You can contact us at support@athletiq.coach.
2. Data we collect
We collect the following categories of personal data, all provided by you or generated by your use of the service:
- Account data — your email address, display name, role (athlete or coach), and optional profile photo.
- Workout data — exercises, sets, reps, weights, durations, RPE, notes, templates, and completed workouts.
- Wellness data — daily check-ins covering mood, energy, sleep hours, stress, motivation, soreness, readiness scores, and free-text notes. We treat this as special category data.
- Body metrics — weight, body fat percentage, muscle mass, body water percentage, bone mass, visceral fat, basal metabolic rate, and metabolic age. We treat this as special category data.
- Personal records — best weights, reps, paces, and related performance markers per exercise.
- Messages — chat content and attachments you send through AthletIQ, including references to workouts, plans, wellness entries, and body metrics that you choose to share.
- Coaching relationships — connections between coaches and athletes, plan assignments, and group memberships.
- Calendar and scheduling — scheduled training sessions, locations, and recurrence rules.
3. How we use your data
We use your data to:
- Provide and operate the AthletIQ service.
- Sync your data across the devices you sign in on.
- Enable coaching relationships and shared visibility between coach and athlete where you have established that relationship.
- Generate visualisations, summaries, and personal-record insights from your training history.
- Send essential service messages (account verification, security alerts, important changes to terms).
- Investigate misuse and protect the security of the service.
4. Lawful bases
- Performance of a contract — for the core service we provide to you.
- Explicit consent — for processing wellness and body data, which fall into special categories under the UK GDPR. You can withdraw consent at any time by deleting that data or your account.
- Legitimate interests — for service security, abuse prevention, and product improvement, balanced against your rights and freedoms.
5. Who we share data with
We share your data with the following processors:
- Google (Firebase) — Firebase Authentication, Cloud Firestore, Cloud Functions, and Firebase Hosting handle authentication, data storage, server-side logic, and content delivery on our behalf.
We do not sell your data. We do not run advertising or third-party analytics in the current version of the service. Where we add new processors in future, we will update this policy and notify you in advance.
If you are part of a coaching relationship, your coach will see the workouts, plan progress, scheduled sessions, and any wellness or body data you choose to share with them through the in-app sharing surfaces. You control what is shared and can revoke a coaching relationship at any time.
6. International transfers
Firebase services run in Google datacentres which may be located in the United States. Where data is transferred outside the United Kingdom or European Economic Area, we rely on Google's Standard Contractual Clauses and other appropriate safeguards.
7. How long we keep your data
We retain your data for as long as you keep your AthletIQ account active. When you delete your account, we delete your personal data within 30 days from our live systems and within 90 days from backups. Some pseudonymous logs may be retained longer for security and abuse-prevention purposes.
8. Your rights
You have the right to:
- Access the personal data we hold about you.
- Have inaccurate data corrected.
- Have your data erased ("right to be forgotten").
- Restrict or object to certain processing.
- Receive your data in a portable format.
- Withdraw consent for processing that relies on consent.
- Lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.
To exercise any of these rights, email support@athletiq.coach.
9. Cookies and local storage
The AthletIQ marketing site (athletiq.coach) does not set non-essential cookies. The application (athletiq.coach/app) uses essential local storage to keep you signed in. We do not run analytics, advertising, or tracking cookies.
10. Children
AthletIQ is not directed at users under 16, and we do not knowingly collect personal data from anyone under 16. If you believe we have done so, contact us and we will delete the data.
11. Changes to this policy
We may update this policy from time to time. When we make material changes, we will notify you by email or in-app banner before they take effect. The "Effective date" at the top of this page reflects the latest revision.
